How to use it
- Download the .xlsx file using the button above.
- Open in Excel, Google Sheets, or Numbers. All three handle the format natively.
- Add your guests one row per person. Fill the columns you have info for.
- Update RSVP Status as responses come in. Use "Pending" until you hear back.
- Sort or filter by RSVP Status or Dietary Requirements when you need to give counts to the caterer.
- When you outgrow Excel — usually around 50+ guests — upload this same file into Seatly. The columns map automatically.
Standard dietary categories
Pick a small set of standard values for the Dietary Requirements column so you can filter and count them. Recommended:
- → None — standard menu
- → Vegetarian — no meat, dairy and eggs OK
- → Vegan — no animal products
- → Gluten-free — celiac or intolerance
- → Kids menu — smaller portion, kid-friendly
- → Allergy: specific (nuts, shellfish, etc.) — flag in Notes
Confirm these categories with your caterer in advance — every additional preparation costs them kitchen time.
When Excel stops being enough
This template gets you through small weddings comfortably. Past 50 guests, you start hitting Excel\'s limits — you can\'t send self-serve RSVP links from a spreadsheet, you can\'t link guests to a visual seating chart, and your partner editing the file in parallel creates version conflicts.
